Separate your signature from everyone else’s

A recurring property workflow may involve an administrator, an owner, a contractor and a tenant. A saved signature belongs to the person who created or supplied it for authorized use. Desktop batch signing does not collect consent from those other people.

Use local signing for your own approvals. If you need someone else to sign, use a request workflow that invites that person and records their response. Sign Simplified’s web requests are online services, separate from the desktop license.

Organize maintenance and supplier documents

Keep an unsigned source folder and a separate signed-files folder. Use filenames that identify the property, work reference and document version without unnecessarily exposing personal details. A saved placement preset is useful for a recurring template, but still check it when the supplier changes the layout.

Batch signing can help with a set of approvals that you have already reviewed. It should not replace checking scope, prices, names or your authority to approve the work.

Choose where the information goes

Local signing and local photo cleanup run on your computer after activation. Optional cloud AI placement sends page images to your selected provider. Leave that feature unused if your organization requires these documents to stay local.

Store and share the completed PDF using your organization’s approved process. Local app history is a convenience for finding files; it is not a shared records system or an independent recipient audit trail.

Know the boundary for rental and community paperwork

The app places visible electronic signatures in PDFs. It does not issue a certificate-based digital signature or a qualified electronic signature. For a document with specific identity, certificate or formal signing requirements, confirm the required process before choosing a tool.

Can a community administrator sign routine approvals locally?
The app supports applying the administrator’s own signature locally. The administrator still needs the authority to sign that particular document.
Can it replace a property-management platform?
No. It handles signing and local files. Property records, accounting and shared case management remain in your existing systems.
Can tenants sign through the offline app automatically?
No. Applying your saved signature does not obtain a tenant’s signature or consent. Use a separate recipient signing process.
